BRIEF REPORT

The latest regarding the Adam Oval upgrade, besides the restrictions placed on the Club regarding parking around the track during the earth works stage and the problems with dust etc. which is a fair call and everybody should understand including the local residents. ( short term pain for long term gain )
The Council rang Rob Hurley at very very short notice this last week wanting a site meeting to discuss the plans around the track area under the trees etc. This meeting had to be put off due to work commitments by Rob ( and I also was not available ) it is set down for early next week but via phone the plan had 20mm aggregate instead of grass ( lawn ) under the trees around the track was conveyed. This was blamed on the landscaping people, the Project Manager was told that this was not acceptable to the club and the their reasoning was flawed as 20mm aggregate will compact the same as lawn, cut into the exposed tree roots etc. it will also be difficult to walk on and stones may end up on the track etc. So hopefully these concerns will be taken back and other ideas will be submitted to us next week, considering we have been waiting for these plans for around a month or more, we are not looking at being pushed into an incorrect hasty decision.
It was also agreed in principle that their will be money available to join the new Clubroom to the old Soccer clubrooms and plans are being drawn up ( still waiting to see the plans ) and the Council's Financial department has agreed on an affordable lease arrangement for the soccer clubroom ( a lot less than first proposed ) But again the Club will only commit to all this once the final plans are agreed upon, the Devil is in the detail.
LATEST UPDATE ON UPGRADE AROUND TRACK 20/01/2010 by Trevor Dutton
Latest meeting with Salisbury Council as a follow up from December's meeting , Rob Hurley and myself again met with Project Manager Patricia Oates and Civil designer Norman to discuss the around the track as discussed at the last site meeting.
Points worth noting in this latest proposal..........
The extra 2 metres between the new pitch and track sorted - this gives 5.2 metres between the track fence and path next the the new pitch at the first corner ( closest
point the track fence is to the new pitch ) the path width in 1.5 mts. so basically 6.7 mts. from the pitch.
Track gate to stay in same position and access for track maintenance will be from centre road behind clubroom, this will allow for a couple of extra viewing car spaces near the track gate plus 2 to 3 non viewing car parks near bore area. ( compared to last proposal )
The irrigated grassed mound moved to the area near the pits to allow for more use of shade in the afternoon( hopefully shade sail over mound ), loss of 2 to 3 viewing car spaces but picked up 2 to 3 at the other end.( compared to last proposal )
Irrigated grass under the trees this would be the most practical option and assist in controlling water runoff, the irrigated grass would run from grassed viewing mound down straight around first corner to the track gate. If necessary paved strips can be place at a later date if vehicles damaging grass. Note:- The grass under the trees is subject to the landscape department approving the proposal of grass under the tree and cars parking on it
Irrigated grassed area on first turn where no cars can park can have extra seating placed umbrellas etc to maximise use
A spoon drain will be placed around the the straight and first corner to control water run off and a larger sump on the straight will be connected to a storm water pipe to run the water
Water tank now above ground due to pressure and pump requirements, this will be 20,000 litres and at this may be round or modular, if modular this can be place along back of clubroom wall to save space. This will have a mix of storm water and bore water with a pump to supply track with water. A directional borer to lay water pipe under track to the centre green so there is no need to dig up track.
The area between the formal car park ( Tangent Avenue side ) and the trees around track will be spray paved, this will be the Club's informal car parking when required. plus to shared use of the formal car park with general public but the informal car park is under Club's control.

Another meeting was held Wednesday afternoon ( 9/12/09 ) between the the Salisbury Council staff involved in the management and development of the Adams Oval upgrade and Rob Hurley and myself. The club's concerns and disappointments were aired and positive constructive progressed was achieved in principle, the areas concentrated on, were the parking area around the track and under the trees including drainage problems, the area around the old clubrooms that in currently unsealed, rubbish bin enclosure and the western end of the track between the the track and the new soccer pitch. We also had some discussions regarding the upgrade / removing the joining wall between the Junior Soccer Club and our Clubrooms I will mention more later in this report.
I will dot point the areas discussed to try to give a clear picture and or direction the Council are going concerning the upgrade around the Salisbury Cycle Speedway track and Clubrooms.
This meeting was very informative and it was stated that the Club was held in high esteem by Councilors. the Mayor ,CEO and senior staff by the swift reaction within Council to our concerns and disappointments after the last meeting, and that our house keeping and presentation of Council property was a well know fact within Council. Another meeting with design drawings, measurements etc. concerning around the track area will be held before Christmas with Dameon Roy and Norman. ( Patricia Oaks will be unavailable due to a planned operation , we wish her a speedy recovery )

Edenton, North Carolina - USA Cycle Speedway
2011 World Championship Proposal
Edenton, North Carolina, USA Cycle Speedway has been nominated to host the 2011 World Championship cycle speedway at its facility in northeastern North Carolina (in the mid Atlantic region of the United States).
This proposal will outline our intentions of hosting the event and how we plan to run the championships. The championship races would include the following events:
At the onset we are planning to host the races in late October, 2011 as the weather is favorable for racing. Another benefit with hosting the races during the early fall is that the United Kingdom and Polish domestic fixtures will be concluded, thus causing no interruption of racing schedules.
Finally, these dates may coincide with U.K. school term breaks, although we may need to review closely and revise the schedule if necessary. We are envisioning the championships to cap off another exciting season of Cycle Speedway racing around the world!
All of the events would be held within 10 days to help offset the cost of making the trip to America, especially in our current economic climate. Below are the proposed dates:
Based on this schedule, International guests could arrive in Edenton on Thursday, October 20th and depart on Monday, October 31st, although they may come in earlier and leave later if they wish.
Sponsorship
The Edenton Cycle Speedway has more than 20 corporate sponsors who support the organization on a yearly basis. Due to the scope of these proposed competitions, the Edenton Cycle Speedway USA, will broaden its campaign to include larger sponsors to help offset several costs associated with such an event.
We will solicit donations and sponsorships for the provision of awards for all of the agreed events.
We currently have Coca-Cola as a sponsor and are planning to prepare a presentation to this company to help sponsor the overall events in 2011 - We are aware that this world famous company has the disposable funding and resources to help partner with our organization. Currently the district manager of Coca-Cola is Frankie Eaves, who has coached our teams in the 2003 and 2007 Junior World Championships.
Other sponsors that we will negotiate support from include the Town of Edenton and Chowan County (Travel and Tourism Department), Biggs Pontiac (local automobile dealer), US Cellular (wireless telephone company), Chowan Hospital (local hospital) and Hampton Inn (local hotel of choice), including others.
Cycle Speedway has a trade sponsorship agreement with our local print partners, The Chowan Herald and Daily Advance, two of our local newspapers, to provide advertisements in the paper to promote upcoming events. We will seek a substantial trade to cover promotions of the World Championship races in both newspapers respectively. We will also seek a trade agreement with our local radio station – Dixie 105.7, a country music station, to promote the events via radio.
Accommodation
When the dates in question are agreed upon, area hotels and motels should be able to confirm their room rates by August / September, 2010. We will likely need deposits to ensure the holding of rooms. I have included current rates, however we will seek group discounts and sponsorships to get the lowest rate possible.

Air and Land Travel
The following is a list of airports that could be utilized to bring guests to Edenton.
We can also assist those who wish to have their own vehicle during the trip. Some may choose to rent a car at the airport, while others may wish to rent a car once they arrive in Edenton. The nearest car rental company is in Elizabeth City, however we have a drop off location in Edenton, which we will work to ensure vehicles can be picked up and returned in Edenton. We will seek the best deals for our guests.

For those who will have no transportation while in Edenton, we will work with the town and county to provide transportation via a bus (shuttle service) from the track to the hotels / bed and breakfasts. There may be a nominal rate charged to help cover fuel expenses. This will be investigated and looked at closely once we have a better idea of who will be attending and what their intended travel arrangements will be.
Staging Personnel
As matter of priority we are in negotiations of naming an Event Director who will control the day by day running of all the competitions - in turn he or she will be the link with the ICSF and International delegates. This name will be released by the winter of 2009.
We would like to formally request that the ICSF help provide and schedule all referee appointments.
Catering Outlets
In addition to the Edenton Cycle Speedway Concessions, we will consider brining in outside vendors to help supply food and snacks (including ice cream).
Included in a proposal to Coca-Cola, would be to help supply drinks for resale during the 10-day event.
Production and Printing of Event Program
The Edenton Cycle Speedway will design an official 2011 Cycle Speedway World Championship program including a front and rear cover and inside pages. We will seek advertisements to help support a World Championship Program. We will name a director of sales to oversee all advertisements both in the program and around the speedway (billboards). We will prepare the inside portion of the program via a computer to help with cost savings. Included in the program will be messages from other Cycle Speedway Nations. In addition, the program will include:
We will host a parade in cooperation with the Town of Edenton and Chowan County for all competitors down the center of Edenton. All competitors will ride their bikes with their full racing gear. To help commemorate the occasion we will seek the support of a marching band from the local high school. We will also involve our sponsors in the parade to maximize publicity.
The competitors would be "on their bikes" Nation by Nation, preceded by a person bearing their National flag. In turn the National flag of all competing Nations will be raised at the race circuit during the event. The parade would be considered on Friday, October 21st, 2011 in the late afternoon or early evening.
We will plan an Event Opening Banquet at a local catering hall. At the banquet we will ask that all represented Nations appoint a person to say a few words to officially kick off the competitions!
Guests Of Honor
Other details that will need to be ironed out, include who will perform the opening ceremony. We are planning to have either our mayor of Edenton or another elected official to help kick-off the big races. We will also try hard to include representative/s from each major sponsor/s on each of the "finals" day.
Event Farewell Night
As tradition of Edenton Cycle Speedway USA of either having a kick off celebration and farewell event, we will plan a farewell event on Sunday, October 30th at Leon Nixon's Catering in Edenton (less than a mile from the Hampton Inn of Edenton). Dinner will include a buffet with a menu to be decided. We would like to thank everyone for coming, recognize our officials and volunteers from around the world and recognize the week's winners. We will hire a disc jockey to play music at the event. We will also need to license the event for the sale of alcohol (if needed) or "Bring Your Own Consumption." We will seek support from our local council on advising if this should take place at the event or back at the hotel (consumption of alcohol).
Official Hotel – Edenton Hampton Inn
Our plans include making the Edenton Hampton Inn the official hotel of the 2011 World Championships in Edenton USA. We feel as though this hotel is very fitting to receive this designation. The Hampton Inn is housed in a relatively new facility and has worked well with our organization over the years in welcoming International competitors. This location will serve as the liaison center for the duration of the event as it has a nice meeting/conference facility and lobby.
We will arrange for a large board with felt tip pens to be sited in the hotel reception area - this will enable the Event Director to pass on "day by day" information to all competitors and officials, with a similar arrangement at the speedway.
We will arrange a mobile phone for our Event Director. We will then provide this number with other Edenton USA contact numbers to all visitors if they wish to make contact regarding any information etc.
This location will also be the venue for the ongoing competition "draws" / the ICSF meeting / referee panel discussions etc.
We will discuss the consumption of alcohol at the meeting hall and lobby with the Hampton Inn.
Media
We will invite all members of the media to all racing events, banquets, press conferences, etc. We will declare media day for the 2011 Cycle Speedway World Championships, on Friday, October 21st. At this event, we will host a press conference and provide interviews with racers and officials. We envision the best coverage to come from our print partners. Here is a listing of our local media.
Because we are situated between the Hampton Roads (Tidewater Virginia) and Eastern North Carolina market, we have very little local television coverage. Due to the scope of these events, we are hopeful for television coverage.
